Location: Arlington, Virginia

Salary: $82,000.00 - $117,000.00 per year 

 

Overview

​

The Contracts Administrator is responsible for assisting with the full life cycle of contracts, analyzing management processes, supporting program operations, and helping to oversee subcontractor relationships. The core function of this role is to provide deep-dive analysis of all contractual agreements, proactively address any potential conflicts, and ensure any errors/discrepancies are fully resolved before contract execution. As our Contracts Administrator, you will support operations by providing comprehensive analysis of contract terms and conditions, ensuring the organization has the organizational capacity, or the ability to acquire the necessary capacity, to successfully perform and meet contractual obligations. You’ll provide expert interpretation of client (USG and non-USG) rules and regulations, and you will aid in the standardization of administrative procedures for efficient award management. You will own the development of contractual documents including templates and ancillary business forms. The scope of contracts administration includes contract interpretation, compliance with regulatory requirements and restrictions, and subcontractor/client relations among others. 

 

General

​

This is a full-time FLSA exempt position, that will report to the Director of Contracting, and will work closely with all other supporting departments. While the official position title for this role is “Contracts Administrator”, the individual encumbering the position will be responsible for assisting with the full life cycle of contracts, analyzing management processes, supporting program operations, and helping to oversee subcontractor relationships. This role exists within an organization that changes lives every day. The ideal candidate is someone who:  

 

  • Is eager to learn and take on additional responsibilities related to their functional activities  

  • Strives to integrate and harmonize contract administration activities with program objectives 

  • Has an analytical skillset, able to produce cross-functional reports to an ultimate end customer to ensure effective program delivery and compliance  

 

Contract Administration 

 

  • Develop, negotiate, and manage contracts with clients and subcontractors.

  • Ensure all contracts follow company policies, legal requirements, and regulations.

  • Maintain accurate records of all contract-related documents and correspondence.

  • Monitor contract performance and develop background materials and contract file documentation to support the timely request and execution of contract modifications.

  • Resolve contract-related issues and disputes in a timely manner.

  • Develop and implement organization-wide procurement policies and procedures.

  • Demonstrate a sound understanding of business agreements, i.e., teaming agreements, proprietary information agreements, etc., along with understanding of management, organization, planning and controls.

  • Perform other contract administration duties as assigned or that will enhance organizational performance and learning. 

 

Subcontract Management 

 

  • Assist with the selection, negotiation, and administration of subcontracts.

  • Ensure subcontractors meet performance standards and contractual obligations.

  • Develop and implement subcontract programs and performance reviews.

  • Facilitate communication between subcontractors and internal program teams to ensure smooth project execution.

  • Address and resolve subcontractor issues in a proactive and timely manner.

  • Perform other subcontract management duties as assigned or that will enhance organization performance and learning.  

 

Management and Program Analysis

 

  • Conduct comprehensive contract-related analyses of organizational processes and performance metrics.

  • Identify opportunities for process improvements and operational efficiencies.

  • Develop and implement strategies to enhance business operations and program outcomes.

  • Prepare detailed reports and presentations for senior management to support decision-making.

  • Track and report on program performance, including budget adherence, milestone achievement, and risk management.

  • Perform other management and program analysis duties as assigned or that will enhance organization performance and learning.  

 

Qualifications

​

  • Bachelor's degree in business, contract management, public administration, supply chain management, or a related field

  • Experience working in both U.S. government and private sector procurement capacities

  • 3+ years of experience in contract management or procurement

  • Proven analytical skills with the ability to take on complex research assignments and generate actionable insights for senior organizational leadership 

  • Effective communication skills 

  • Ability to work independent and part of a cross-functional team 

  • Proficiency across the Microsoft Office suite of products (specific emphasis on Word, Excel, PowerPoint)

  • Knowledge of procurement regulations and policies including but not limited to: Federal Acquisition Regulations (FAR), agency-specific supplemental regulations, Uniform Contract Code (UCC) etc. 

 

Work Environment 

​

  • This position operates in a professional office environment 

  • Occasional travel may be required to meet with clients, partners, and subcontractors

 

Qualifications

​

  • Bachelor's degree in business, contract management, public administration, supply chain management, or a related field

  • Experience working in both U.S. government and private sector procurement capacities

  • 3+ years of experience in contract management or procurement

  • Proven analytical skills with the ability to take on complex research assignments and generate actionable insights for senior organizational leadership 

  • Effective communication skills.

  • Ability to work independent and part of a cross-functional team 

  • Proficiency across the Microsoft Office suite of products (specific emphasis on Word, Excel, PowerPoint)
